The Digitization of Invoicing in Spain takes a firm step forward with the arrival of VERI*FACTU. This system not only changes the way invoices are issued; it also ensures traceability, transparency, and security in all accounting processes.

What is VERI*FACTU, and why does it matter? 

VERI*FACTU is a verified electronic invoicing system, sponsored by the Anti-Fraud Act (Act 11/2021) and regulated by the Royal Decree 1007/2023

Its main goal: to ensure that every invoice issued is complete, traceable, and immutable, with secure registration and the option to automatically send it to the AEAT

Why is this important? Because reduces tax fraud, improves transparency and facilitates the digitization of accounting processes for businesses and self-employed individuals. 

Key Obligations for Businesses and Self-Employed Individuals 

Customized software

If you issue electronic invoices, your software must comply with the following: 

  • Data integrity and preservation.
  • Accessibility and readability.
  • Traceability of all operations.
  • Inalterability of invoices.

In addition, each invoice must include: 

  • QR Code to verify its authenticity.
  • Digital fingerprint (hash).
  • Possible direct connection to the AEAT.

If your current software is not certified, ask your provider for an update or consider switching to a compatible solution before 2027.

Recording and Traceability

Each invoice generates a single registry which cannot be modified. This record must: 

  • Store safely.
  • Be automatically submitted to the AEAT or retained in accordance with legal requirements.

This requirement ensures Maximum transparency and protection against inspections

Implementation Schedule

  • Software providers: mandatory adjustments starting from July 29, 2025
  • Companies Subject to Corporate Income Tax: required starting on January 1, 2027
  • Self-employed individuals and professionals subject to personal income tax: required starting on July 1, 2027

Although the deadline is in 2027, it’s a good idea to start making the necessary adjustments already to avoid last-minute problems. 

Who is required to participate and who is exempt

Required: 

  • Companies and self-employed individuals who issue invoices using computer systems. 

Excluded or subject to special treatment: 

  • Manual billing under specific tax regimes.
  • Transactions already covered by the SII.
  • Taxpayers in autonomous regions (Basque Country, Navarre).

Benefits and Risks of VERI*FACTU

Benefits: 

  • Greater legal certainty.
  • Improvements in document and accounting management.
  • Reduction of errors and manual tasks.
  • Greater confidence when facing inspections.

Risks of Noncompliance: 

  • Use of non-compliant software: fines of up to 50,000 € per fiscal year.
  • Even higher fines for developers of non-compliant software.

  1. Check to see if your business is covered by the mandatory requirements.
  1. Evaluate your current software and verify that it meets your needs.
  1. Switch to a certified program if necessary.
  1. Train your administrative and accounting team.
  1. Stay up to date on AEAT guidelines and updates.
