Conflicts can arise between customers and suppliers, partners, competitors, employees, and so on. And they can negatively affect companies’ performance, satisfaction, reputation, and profitability.

However, conflicts aren't necessarily always a bad thing. If managed properly, they can become a opportunity for learning, innovation, improvement, and growth. The key is knowing how to deal with them in a constructive, respectful, and collaborative way.

Tips for Conflict Management

1. Identify the cause and type of conflict

Not all conflicts are the same, nor do they have the same severity or impact. That is why, The first thing to do is identify the cause and the type of conflict that is occurring. Some possible causes are:

Differences in opinion, values, interests, or expectations.

Lack of communication, information, or transparency.

Failure to comply with agreements, deadlines, regulations, or quality standards.

Competition, rivalry, or threat.

Changes, crises, or unforeseen events.

Depending on the cause, there are two types of conflict:

Substantive conflict: This refers to the content or subject matter of the conflict—that is, what is being discussed or negotiated. For example, price, terms, quality, service, etc. This type of conflict is usually easier to resolve, since it is possible to reach an agreement or an objective and rational solution.

Relationship conflict: refers to the relationship or bond between the parties in conflict—that is, how they feel about or perceive one another. For example, trust, respect, empathy, sympathy, etc. This type of conflict is often more difficult to resolve, as it involves emotional and subjective factors.

It is important to distinguish between these two types of conflict, as they require different strategies. In general, it is recommended to address the relational conflict first—to improve the atmosphere and the parties’ willingness to cooperate—and then the substantive conflict, in order to reach an agreement or a solution.

2. Choose the most appropriate conflict management style

There is no single way to manage conflicts; rather, There are different styles or strategies that can be adopted depending on the situation and the objective. According to the Thomas-Kilmann model, the five styles of conflict management are:

Competitive: It involves imposing one's own position or interests without taking the other party's into account. It is an aggressive style that seeks to win at all costs, even if it means sacrificing the relationship. It can be used when the matter is very important, urgent, or critical, and when there is no other alternative.

Collaborative: The goal is to find a solution that meets the interests and needs of both parties through dialogue, creativity, and cooperation. It is an inclusive approach that seeks a win-win outcome and strengthens the relationship. It can be used when the issue and the relationship are important, and when there is time and a willingness to negotiate.

Commitment: The goal is to reach a compromise, in which both parties give up some of their positions or interests. It is a pragmatic approach that seeks an acceptable—though not optimal—balance and preserves the relationship. It can be used when the issue and the relationship are moderately important, and when there is not enough time or resources to negotiate.

Avoidance: This involves ignoring or avoiding the conflict, without confronting or resolving it. It is a passive approach that seeks to avoid the problem—though it does not solve it—and that damages the relationship. It can be used when the issue or relationship is not important, or when the conflict is very complex or dangerous.

Accommodations: It involves yielding or giving up one’s own position or interest to accommodate the other party’s. It is a cooperative style that seeks to preserve the relationship, even at the expense of the issue at hand. It can be used when the issue itself is not important, but the relationship is, or when one acknowledges being wrong or wants to accommodate the other party.

Each of these styles has its advantages and disadvantages, and none is better or worse than the others. The important thing is know how to choose the most appropriate one based on the context, the objective, and the relationship with the other party.

3. Apply effective communication skills

The Communication is an essential tool to manage conflicts in a positive way. Good communication allows people to express their own points of view, listen to the other party’s views, exchange information, clarify doubts, build trust, empathy, and respect, and work together to find solutions.

To communicate effectively in a conflict situation, it is recommended that you use the following skills:

Assertiveness: It involves expressing one’s own feelings, opinions, needs, and rights clearly, directly, and respectfully, without attacking or submitting to the other party. Assertiveness involves using positive, constructive, and nonviolent language that avoids accusations, criticism, threats, or insults. It also involves knowing how to say no, setting boundaries, and defending one’s own interests without harming those of the other person.

Active listening: It involves paying full attention to what the other person is saying, without interrupting, judging, dismissing, or getting distracted. Active listening involves using verbal and nonverbal language to show interest, understanding, and respect for both the message and the speaker. It also involves asking questions, paraphrasing, summarizing, and providing feedback to ensure that what was said has been correctly understood.

Empathy: It involves putting yourself in the other person’s shoes, trying to understand their point of view, their feelings, their motivations, and their circumstances. Empathy means recognizing and accepting diversity and differences, without imposing your own perspective or judgment. It also means expressing appreciation, acknowledgment, and support to foster an atmosphere of trust and collaboration.

These effective communication skills are essential for managing conflicts constructively, as they facilitate understanding, dialogue, and the search for solutions.

4. Look for a creative and satisfactory solution

The fourth and final step in managing a conflict is to seek creative and mutually beneficial solutions that satisfy the interests of all parties.

Search Creative solutions mean broadening the range of possible options, by using imagination, lateral thinking, or brainstorming techniques, and by weighing the pros and cons of each alternative.

Search Mutually beneficial solutions mean seeking shared benefits, not the individual, but the agreement; not confrontation, but agreement—based on the principles of fairness, reciprocity, and cooperation.

La gestión de conflictos en el ámbito empresarial es un componente esencial para el éxito y la sostenibilidad de cualquier empresa.
